CO-OWNERSHIP COUNCIL · PARKTOREN
Newsletter privacy statement
Last updated: 6 November 2026. This statement explains how the Co-ownership Council processes data for the newsletter.
Who manages your data?
Data controller: VME “Parktoren HOOFD”, Ellermanstraat 61, Antwerp, company number 0542.382.230. The Co-ownership Council manages the newsletter on behalf of the VME. Contact for questions about your data: [email protected]. Postal correspondence can be sent to VME “Parktoren HOOFD”, c/o Syncura, Berchemstadionstraat 76 bus 1, 2600 Berchem.
What data do we collect and why?
When you apply, we ask for your first name, last name, email address and at least one apartment, studio or garage number. We use this data to check that you are an owner, to process your request and to send the newsletter. For this check, only the necessary information is compared with a reliable register of owners to which the authorised manager has lawful access. We do not publish a list of owners.
MailerLite also records data about your subscription and email confirmation, such as the time and technical details, to operate the service, limit abuse and be able to demonstrate consent. Email confirmation proves access to your email address; the council separately checks whether you are an owner.
Voluntary subscription and unsubscribing
Subscribing is voluntary. For the newsletter, we ask for your consent and you confirm your email address through a separate email. You will only receive the newsletter after the council has approved your request. You can withdraw your consent at any time using the unsubscribe link in every newsletter or via the contact address above. This does not affect the lawfulness of processing carried out before withdrawal. Not subscribing has no consequences for your rights as an owner.
The limited ownership check and the handling of requests are based on the legitimate interest of keeping this communication channel exclusively for owners. Only the data needed for this purpose is used. You can object to this.
Who has access?
Only the people who manage the channel on behalf of the VME and carry out the request checks receive the access they need. Your registration details and property numbers are not shared with other subscribers. We use MailerLite for the registration page and sending, and the Combell mailbox for email contact.
MailerLite may use sub-processors. Processing may then take place outside the European Economic Area, with the safeguards described in MailerLite’s data processing agreement. See also MailerLite’s privacy policy.
Sale announcements
A sale announcement is voluntary. We agree in advance with the seller which text, link and contact details may appear in the newsletter. Only that approved information is shared with verified subscribers. Interested readers contact the seller or their estate agent directly. The council does not act as an intermediary in the sale. You can withdraw your consent for future newsletters via the contact address; emails already sent cannot be recalled. Sent newsletters, including sale announcements, remain stored in the archive of our newsletter service.
How long do we keep the data?
Retention periods: Unconfirmed requests and confirmed requests that the council has not yet reviewed are deleted no later than three months after the request. Rejected requests are deleted no later than three months after rejection. Subscriber data is kept for as long as the subscription is active. If we learn that you are no longer an owner, we end your subscription. After you unsubscribe, we delete your data. We only keep a limited record to prevent you from receiving messages again. Data needed to settle a dispute or comply with a legal obligation is kept for as long as necessary.
Technical data and statistics
The registration page uses technical features of MailerLite and protection against automated sign-ups. No Google Analytics or Meta pixel codes are installed on the registration pages. MailerLite records whether newsletters are delivered, opened and clicked. We only use these statistics to improve the newsletter.
Your rights and complaints
You can ask for access to, correction, deletion or restriction of your data and, where applicable, data portability. You can object to processing based on legitimate interest and withdraw your consent for the newsletter. Email [email protected]. We will in principle respond to your request within one month. For complex or numerous requests, this period may be extended by two months; we will let you know within the first month. We will only ask for additional information to verify your identity if necessary.
You can also lodge a complaint with the Data Protection Authority. If there are significant changes, we will inform the people concerned and update this statement.
